Welcome to M-PESA Bill Manager for businesses. M-PESA Bill Manager is a digital service that gives businesses and their customers a one-stop end-to-end platform to send, receive, pay, and reconcile all payments.

Businesses can issue invoices, send payment reminders, update M-PESA payments in real-time, and reconcile other payments from a simple and secure access portal.

Customers receive their bills through SMS notification on their phones and access their invoices for payment via their phones by simply dialing *334# or via My M-PESA APP.

The platform is available for a variety of businesses among them:

  1. Schools – schools can issue school fees invoices, send parents/guardians payment reminders, update M-PESA payments in real-time as well as reconcile other forms of payments from a simple and secure portal.
  2. Rentals – Landlords and Agents can issue rent invoices, send tenants reminders, update M-PESA payments in real-time, and reconcile other forms of payments from a simple and secure portal.
  3. Other uses – Bill manager can also be used by other businesses outside the school and rent categories. These include water service providers, subscription services, club membership management, loan disbursement and collection tracking among others.

  • An Active M-PESA Business Administrator/ Finance contact.

How to Sign Up for Bill Manager

From your laptop, computer, or smartphone, as the organization’s M-PESA Business Administrator, you will follow the below steps:

  1. Log into: https://billmanager.M-PESAforbusiness.co.ke
  2. Select the Signup
  3. You will be presented with a page to validate your credentials.
  • Under Business Type select School, Rent or Other from the dropdown menu depending on your type of business.
  • For schools, select the School Typee., Primary, Secondary, University, TVET, Driving school etc.

Note: For Rent businesses 

  1. Under Business Type select Rent from the dropdown menu
  2. Select the Rental Type i.e., Landlord, or Agent
  • Enter your M-PESA Paybill Number
  • Enter your M-PESA Business Administrator or M-PESA finance contact details (i.e., the administrator credentials as registered on the M-PESA System, or M-PESA finance contact details as registered on M-PESA)
  1. If referred by a salesperson select Sales Team Referral and fill in the details, Name, Role, and Region.
  2. Click the Next A One Time Password (OTP) will be sent to Administrator’s mobile number.
  3. Enter the One-Time password received via SMS and click the submit tab.

You will receive a message with a username, and one-time password.

Note

All users will be authenticated via their username, password, and One Time Password that is sent to their mobile number.

  • Parents and Tenants: Parents and tenants can access all their due bills and pay via *413#
  • All SMS notifications are received via MPESABills

The M-PESA Bill Manager is a robust billing platform that gives businesses and their customers a one stop end to end platform for invoicing, receipting and real-time payment reconciliation.

The service is available to all businesses that register for the M-PESA Bill Manager portal. Customers can access issued bills and make payments by simply dialling *334# from their mobile phones or via My M-PESA APP.

Businesses with existing Paybill numbers will simply sign up through: https://billmanager.m-pesaforbusiness.co.ke

  • M-PESA Paybill Account - A working M-PESA Paybill Account for M-PESA payment collections.
  • Internet connectivity - Access to the internet as this is an online portal. The site is easily accessible from any mobile phone.

Registering for the portal is free.

Standards M-PESA Paybill charges apply.

Yes. Access to the portal is only to authorized users who are created by an administrator and a one-time password is sent to the user whenever access to the portal is required. All data is managed in accordance with the Kenyan data protection and cyber security laws that Safaricom adheres to.

Yes. Certain features can be customized, e.g., the school logo on statements.

No, SMS notifications are Free.

The administrator creates all the users and assigns them roles. The administrator enters the user’s email address and phone number, assigns them roles, and sends the invite. The administrator can also suspend, delete, and edit the users.

There 4 main types of roles in the system are:

  • Administrator: The Administrator has full access to the system functionalities. The primary role is creating and managing team members.
  • Finance Manager: The user can manage all clients, payments, and invoices.  The user has both view and edit access.
  • Front Office Operator: The user can manage clients, view invoices and view payments within the organization.
  • Auditor: The user can analyze transactions and team activities. This is a read-only access.

To reset the password, follow the below steps:

  • Click on forgot password
  • Enter your email account
  • Enter the phone number for OTP to be shared
  • Key in the OTP shared
  • Enter a new password and confirm
  • Logg in with the new set password
